1. Purpose
The purpose of this work instruction is to detail the process for onboarding suppliers into LSPediA’s OneScan Verification Router Service (VRS) System.
2. Definitions & Acronyms
VRS – Verification Router Service: As defined by the HDA, refers to using a third-party routing system to send product information back and forth between distributors and manufacturers.
GTIN - Global Trade Item Number: As defined by GS1: A Global Trade Item Number® (GTIN) is the number underneath the U.P.C. barcode symbol—and it’s the same number that’s encoded in the lines and spaces that the scanner reads.
GTINs uniquely identify products at all item and package level
Look-up Directory (LD): A directory which contains records of supplier GTINs with connectivity information and a point of contact for each GTIN.
WDD – Wholesale Drug Distributor
3. Overview
The LSPediA OneScan VRS supplier onboarding process contains the following requirements:
A Supplier list
A Supplier letter/Excel spreadsheet and Supplier Response
Loading data in the Lookup directory (LD)
Testing connectivity
4. Supplier List
The WDD is requested to provide a list of their suppliers that includes their Company name, a point of contact, and email contact information.
5. Supplier Letter/Response
A Supplier letter template and a excel spreadsheet is provided to the Customer to personalize (add their logo etc.) before it is sent out. The letter contains detailed information and a customized link. The spreadsheet is for the capturing the Supplier’s master data.
Once personalized, the Customer is asked to “cc” LSPediA on the emails (letter and excel spreadsheet) that are sent out to the Suppliers.
The Supplier receives the email, clicks on the link and fills in the information in the form along with attaching the excel spreadsheet populated with their master data (GTIN’s etc).
6. Load Lookup Directory (LD)
Upon completion of the form by the Supplier, a SmartSheet email notification is received notifying LSPediA that a supplier has begun the onboarding process.
LSPediA will load the GTIN information into LSPediA’s OneScan Lookup Directory (LD) assigning a point of contact for each GTIN.
7. Obtain Test Data
The lookup directory (LD) will be synched with the other VRS providers and update the endpoint information to point to the VRS provider that is linked to the Supplier’s EPCIS data.
Once a Supplier’s data is available through a VRS provider, test data will be requested to test the connection to their endpoint as well as verifying the accuracy of the responses received back from the VRS provider.
After a successful test has been conducted (connection/responses), the supplier onboarding process is considered complete.
